Get ready to finally figure out and manage the 100 databases and relations you created in notion over time!

You need one of these: iphone, ipad or macbook, to use the automated part of the template.

This product was created when I saw that other people also face the same problem that I do: abundance of notion databases created over the years that have so many properties and options to keep track of.

To see the building process of the template, take a look at this thread:

The product includes two components:

  1. Notion template to manage and get an overview of the databases in your notion workspace
  2. Apple Shortcut to automatically populate the template with database properties and its corresponding information.

💡  Who is this for?

  1. Organizers
Did you end up making 50+ databases with 1000 relations? Fret not.
    • Create an instant overview of your databases and relations
    • Automated addition AND update, so no more manual insertion of each property and its characteristics/options.
  2. Content/Template Creators
Do you create/sell multiple templates? Do you often include screenshots explaining why a database has certain properties?
    • Have an instant overview of your databases included in the template.
    • You no longer need to take 30+ screenshots to describe your database structure. Just run this shortcut, and add comments.
    • Automated addition AND update, so no more manual insertion of each property and its characteristics/options.
  3. No-code/code builders using Notion API
Do you have automations running for a notion workspace that uses the API?
    • You can have all information updated and accessible quickly
    • Use the generated database as a json/spreadsheet input to your code to easily access in the rest of your codebase
    • Automated addition AND update, so no more manual insertion of each property and its characteristics/options.

❓ FAQs

Shortcuts? What do you mean? Can I run this on Windows/Linux/Android?

Shortcuts is an apple only app available on iOS, IpadOS and macOS. You need the app to avail the benefits of this template. While you can use this template if you only have an iphone but not macos, I do not plan to support using it on non-apple devices (through Automator or such).

Why does my shortcut not produce any results?

  1. Make sure you have shared your databases (added connections) with the internal integration
  2. Make sure that your databases are in the same workspace as the template is in.
  3. And then, finally make sure you added databases you want an overview of to Workspace Databases.

Why do I need to add all my databases manually? Why not automate it too?

Personally, I have found that I use 100+ databases across the notion workspace just as spreadsheets. This is often when I am comparing products, or just making a wishlist etc. Such databases are one purpose use for me (and often inline). In future, I might add the ability to automatically populate with all full-page databases, but at the moment, I think adding mentions of databases that you care about is easy and pretty quick.

If you personally use this template, why do you need to charge for it?

Because it takes time to build something that is public facing. I have many tweaks in my personal template which is integrated not only with shortcuts but also with a self-hosted python script. Not only is that not user friendly, it is also non-portable.

Why is there no demo video of the product?

Because the setup is uncomplicated and mostly text based, it made more sense to do a “setup memo” than a video because then I can add internal links to jump around and refer back to.

Why does it not automatically incorporate information about filters, groups and sub-groups?

Notion’s official API unfortunately has no way to gather information about database views, which hold information about which properties are used for grouping, and filtering. If that changes, I will upload an updated shortcut.

What information can I change/modify?

  1. You can change any database name in the manager template.
  2. You can add/delete any entry in the Workspace Databases database. The linked properties and their options will be deleted on shortcut run if the database is deleted.
  3. You can also add new properties.
  4. Please do not change the name of existing properties.
  5. Please do not change the existing status options for Properties database.
